Invoicing and payment links for small business teams
Send estimates, invoices and payment links from the system that already holds your customers and deals. When a payment comes in, the record updates and the next step can start.
Getting paid from the place you sell
In many small businesses the sale happens in one tool and the invoice in another. Someone re-types the customer's name, the amount and the items, sends a PDF and waits. EDCRM.AI keeps quoting and billing next to the contact and the deal, so the details are entered once.
Payments are taken through a payment gateway connected to your account. EDCRM.AI supports Stripe, PayPal, NMI, Authorize.net, Square and Razorpay across supported payment areas. Which gateway you can actually use depends on the gateway's own merchant-country availability and approval. For India, Razorpay is a native EDCRM.AI integration option; for UAE businesses, Stripe is a common native option. Euro Digital confirms the gateway and settlement currency during onboarding.. The money goes to your own gateway account. EDCRM.AI records each payment against the contact, so your team can see what has been paid and what is still outstanding.
Estimates, invoices and recurring invoices
An estimate or proposal sets out the work and the price, and the customer can accept it online. It then becomes an invoice, so nothing is typed twice. Invoices carry your logo, your business details and your line items. Recurring invoices suit retainers, maintenance contracts and monthly fees.
- Recurring invoices go out on a schedule you set, such as the first day of every month.
- A workflow can send a reminder when an invoice is still unpaid.
- Coupons let you attach a discount code to an offer.
- Your team sees every invoice and its status on the contact record.
Payment links and text-to-pay
A payment link is a short web address that opens a checkout page for a set amount or product. You can send it by WhatsApp, SMS or email, or show it as a QR code at the counter. Text-to-pay sends the request by message so the customer pays from their phone. Both suit deposits, booking fees and small balances where a formal invoice feels heavy.
Products, subscriptions and gift cards
You can keep a product list with prices, so invoices, order forms and payment links all draw from the same place. Subscriptions charge a customer on a regular cycle for memberships, retainers or course access. Gift cards can be sold and redeemed against later purchases. Paid appointments on your booking pages collect the fee at the time of booking.
What to prepare before you start
Set-up goes faster when a few things are ready on day one. Most of them are items your accountant or office manager already has to hand, and we go through the list with you on the first call so nothing is missed.
- Open a payment gateway account in your business name, or gather the documents needed to apply for one.
- Have your trade licence or company registration details ready, along with your tax registration number if you have one.
- List your products or services with their prices.
- Decide your invoice wording, payment terms and numbering format.
- Agree with your accountant how invoices should show VAT or GST.
How Euro Digital sets it up and supports you
We connect your gateway, load your products, prepare your invoice and estimate templates, and build the workflows that follow a payment, such as a thank-you message or a delivery task. Then we train whoever raises invoices. EDCRM.AI is a billing and collection tool and does not replace your accounting software. Tax rules differ between the UAE and India, so please confirm your invoice format with your accountant.
Payments and invoicing: common questions
Which payment gateways can I connect?
EDCRM.AI supports Stripe, PayPal, NMI, Authorize.net, Square and Razorpay across supported payment areas. Which gateway you can actually use depends on the gateway's own merchant-country availability and approval. For India, Razorpay is a native EDCRM.AI integration option; for UAE businesses, Stripe is a common native option. Euro Digital confirms the gateway and settlement currency during onboarding.. During your demo we will confirm which option suits your country, currency and type of business. You hold the gateway account yourself, so payments settle to your bank under the gateway's own terms and fees.
Does EDCRM.AI replace my accounting software?
No. It handles estimates, invoices, payment links and subscriptions, and keeps them tied to the customer record. Your books, tax returns and statutory reports stay in your accounting system. Payment and invoice data can be passed to other systems through the API and webhooks where that is needed.
Can I charge customers every month automatically?
Yes. Use a recurring invoice when the customer should receive a bill each cycle and pay it themselves. Use a subscription when the customer signs up to be charged on a regular schedule. Both appear on the contact record, so your team can see at a glance who is up to date.
Will my invoices meet VAT or GST requirements?
You can add your business details and tax registration number to the invoice template. Whether the format meets the rules that apply to you depends on your business and your country, so check with your accountant before you send the first one. We will adjust the template to match their advice.
